In very basic terms I totally respect your personal information and will only ask you for the information I really need from you to provide you with my service. I will look after it in the same way I would want my own looking after, keeping it secure and not sharing it with anyone else unless doing so is necessary to provide the service you have hired me for.
Be assured that I will never share your information in any other circumstances, nor will I sell it on elsewhere! Here are some more details.
1. THE DATA I COLLECT AND HOW I USE IT
As a data controller I collect a variety of data in order to deliver my services, and I will
manage your personal data transparently, fairly and securely. Over the course of working with you, I will ask you to provide me with the following data:
I will also record the names and dates of birth for all persons I photograph under the age of 13 and require the parent or a legal guardian to consent to photography.
Obviously, being a photographic business, I also create and manage images as per my contractual agreement(s).
HOW I USE COLLECTED DATA
I use the above data to deliver my service to you in a manner you would reasonably expect. I will use your name to address you in person and in any correspondence. I will use your phone number to call or text you, for example to discuss your requirements or arrange your shoot or viewing appointment. I’ll use your email address to email you with information you have requested, and, if you have specifically given consent to sign up to my mailing list, with special offers I may be running in the future (I currently don’t send out mass-marketing emails but will update this policy in the future should I begin doing so). I will use your address to find your house, so I can take your photos for in-home sessions, attend your viewing appointment and deliver your order.
I collect this data on in order to fulfil my contract with you.
When you visit my website, it collects Cookies. These are small pieces of data that
websites send to a user's computer and are stored on the user's web browser. They are
designed to enable the website to remember information, such as what a user might have

2. WHICH THIRD PARTIES DO I SHARE PERSONAL DATA WITH?
I share personal data with the following third parties:
PROFESSIONAL PRINTING LABS – I use a number of professional labs for creating my range of products and I share images with them, so they can print them. Data is not transferred outside of the European Economic Area.
There are also certain situations in which we may share access to your personal data without your explicit consent; for example, if required by law, to protect the life of an individual, or to comply with any valid legal process, government request, rule or regulation.
WHY DO I SHARE YOUR PERSONAL DATA WITH THE ABOVE?
I share your data in order to deliver my service to you – it’s that simple.
I may transfer personal data to a country outside of the European Economic Area (EEA) if necessary eg if a third party we utilise could have servers located outside of the EEA. If
this is the case, we will either obtain your consent or otherwise ensure that the transfer is
legal and your data is secure by following the EU's guidelines. You can see above where we
send data outside of the EEA and on what basis we do so.
3. HOW DO I STORE YOUR PERSONAL DATA?
I keep your data secure by using Secure Socket Layer (SSL) technology when information is submitted online (that’s what the https means at the start of my URL).
My computers, back up drives and email accounts are all secured with secure passwords and kept in my home which has secure locks on all doors and windows.
In the unlikely event of a criminal breach of my security I will inform the relevant regulatory body within 72 hours and, if your personal data were involved in the breach, I will also inform you.
DISPLAY OF IMAGES
Being a photography business, it is necessary for me to use images from my shoots to display my quality of work and skills as a photographer to future clients. Therefore, I display photographs I have taken for past clients to promote my work on my website and blog, and on social media platforms such as Facebook and Instagram. I may also use images I have taken for you for trade exhibitions, in advertising, brochures, photography competitions, magazine articles and other such material, providing that the images used are used lawfully and without damage to you, my client(s). Whereas this use of images is within my standard terms and conditions, out of respect I will ask you to sign a consent form for where you are happy for your images to be displayed.
WITHDRAWAL OF CONSENT
I do understand there may be circumstances in which you may no longer want your images to appear online. Anyone photographed by VH Photography, whether past or current may withdraw consent for a photograph in which they appear to be displayed. The process for this is to contact me via email at email@example.com, by calling 07402 210895 or by in writing to VH Photography, Ivy House Farm, Whitley Lane, Southowram, Halifax HX3 9TF specifying the photo in question. Persuant to the request, I will then remove the photo from online and printed display wheresoever it appears.
6. YOU HAVE THE FOLLOWING RIGHTS
The right to be informed about the collection and use of your personal data
The right of access to your personal data and any supplementary information
The right to have any errors in your personal data rectified
The right to have your personal data erased
The right to block or suppressing the processing of your personal data
The right to move, copy or transfer your personal data from one IT environment to another
The right to object to processing of your personal data in certain circumstances, and rights related to automated decision making (i.e. where no humans are involved) and profiling (i.e. where certain personal data is processed to evaluate an individual).
We also give you the option to manage your data via email, telephone or in writing. While I do not hold personal data any longer than I need to. The duration will depend on your relationship with me, and whether it is ongoing. I may keep some of your personal data for up to 7 years after my working contract with you has finished for Tax legislation purposes.
After this time, I will archive your photographs indefinitely along with your relevant details and consent forms. This is due to requests for replacement images being made several years after being taken.
